Pre-Populated Enrollment Form
On behalf of a third party administrator, Dasher led an initiative to program, test and re-test the design of a new enrollment form that incorporated a complex data file that personalized and customized documents incorporating protected health information (PHI).
Approximately 7,000 enrollment forms are produced and mailed each day. Dasher guarantees document production and mailing the same day data is received. This is a requirement of our client’s client and fines are assessed for non-compliance. Our client relies on us to meet this obligation every day.
Since the initial set up, we have taken emergency calls for unanticipated changes to formatting, content, and fulfillment requirements and adjusted accordingly. We have found data file errors and resolved them in time to mail within our client’s contractual obligations.
After six months, we collaborated with our client to revise the enrollment and fulfillment processes. We also reduced our pricing to reflect the simplification of the process.
Enrollment Letter
A Pennsylvania state government agency selected our client to administer a statewide program that provides a specific set of services for 250,000 qualified beneficiaries.
On behalf of our client, Dasher produces and mails an enrollment letter and informational materials to enroll beneficiaries in an open enrollment period. This effort is coordinated with our client’s call center so that a manageable number of qualified beneficiaries contact the call center over a period of time.
Dasher receives the data for qualified recipients, breaks into the appropriate number of mailing drops, prints simplex black and white, 8.5 x 11 letters on 24# all purpose white paper, tri-folds the letters, inserts the personalized letter into #10 window envelopes, add an additional stuffer insert provided by our client, seals, sorts, trays and delivers to the Harrisburg Post Office with all appropriate documentation.
A PDF file of all the letters is returned to our client and is entered into our client’s document management system and accessed by call center personnel responding to questions.
