Client Services Assistant/AP Specialist

Position Description:

Key Responsibilities:

  • Assist Production Supervisor, Technology and Data Specialist, and clients to create mailings using Word and Excel software
  • Perform clerical duties, including data entry, in an office setting
  • Process paper documents to be sent electronically by logging, scanning, and preparing for shipment
  • Prepare, set-up, run, and quality check jobs run on multiple pieces of production equipment
  • Perform quality control checks for various projects
  • Monitor critical supply inventory levels and coordinate orders with the Production Supervisor
  • Work independently to complete various tasks at client sites
  • Code vendor invoices for proper expense category and secure approvals
  • Perform monthly analysis of vendor payments to ensure no expenses were missed
  • Gather and maintain W-9s for new and existing vendors
  • Allocate costs for certain expenses based on cost center utilization/staffing allocations
  • Verify and code approved employee expense reports
  • Process payments upon receiving Executive approval to pay (ACH, debit or check, as warranted)
  • Prepare monthly expense reconciliation of selected accounts to verify adequacy of expenses
  • Develop weekly recommendation as to what expenses/invoices should be paid based upon payment terms/due dates
  • Maintain appropriate supporting documentation to ensure adequate audit trail
  • Reimburse petty cash routinely
  • Maintain, post and reconcile account transactions, including keying all approved invoices and expense reports, and establishing and maintaining new vendors in Sage or other accounting software
  • Respond to inquiries and investigate issues, including requests by auditors and Dasher leadership
  • Process 1099 forms

Qualifications Required:

  • High school diploma required. Associate degree preferred.
  • Strong math skills
  • Strong computer skills, including Excel and Microsoft Word. Sage or other accounting software experience is highly desirable
  • Ability to maintain constant confidentiality
  • Ability to plan and manage time effectively and to work independently
  • Valid driver’s license
  • Strong communication skills (oral, written and listening)
  • Ability to work independently and as part of a team
  • Detail and results oriented, highly motivated, innovative, and well organized
  • Ability to pass background checks, drug screen, and motor vehicle report
  • A positive and upbeat personality

 

Physical Requirements

  • Ability to lift 50 pounds
  • Ability to sit, stand, or walk for prolonged periods
  • Ability to traverse stairs unassisted
  • Good visual inspection capabilities
  • Good manual dexterity, including the ability to grasp objects and handle accordingly
